MAIN PURPOSE OF JOB:

An Accounts Assistant is an essential position in a company’s accounting department. The accounting team is responsible for maintaining an efficient, organised and accurate finance function for the business and the Accounts Assistant is responsible for assisting with a variety of day-to-day financial operations such as sales and purchase ledgers and basic bookkeeping.
RELATIONSHIPS:
a) Responsible to: Financial Director / Management Accountant/ Supervisor
b) Responsible for: None
c) Liaison with: Directors, Managers, Clients, Suppliers

MAIN TASKS OF JOB:

  •  Reconciliation of material & haulage orders
  • Ensure invoices are authorised
  • Makes adjustments, handles queries and resolves problems within company guidelines and policy
  • Input of material & haulage invoices to Sage 200 
  • Input of Lease and Services invoices
  • Checking & Input of trading tickets (To include scanning and filing)
  • Ensuring all invoices and proof of delivery documentation are sent to customers.
  • Completion of Fuel Records and mileage for Company van fleet
  • Input of service records & daily tick sheets for mobile plant
  • Reconciliation of Purchase Ledger statements to invoices
  • Issuing weekly pay run schedule
  • Maintains accurate and up to date customer & supplier details and account records
  • Regular customer & supplier contact by phone, fax and email 
  • Keep a record of all communication with the customer
  • Resolve problems for clients, copy invoices, proof of delivery, and liaise internally to progress any problems that are being handled in any other department.
  • To comply with company health, safety and environmental policy, highlighting any issues appropriately.
  • To act in accordance with the company’s Health, Safety and Environmental policies, procedures and practices.
  • To perform duties as directed by Manager

THE IDEAL CANDIDATE:

  • Enthusiastic, committed and a fast learner with previous experience of a busy environment
  • Computer literate with an aptitude for numbers
  • Basic understanding of bookkeeping and accountancy procedures
  • Strong communication skills
  • Ability to work with individuals across departments and liaise with external customers and contacts
  • Solid organisational skills and the ability to prioritise a varied workload
  • Hold or be studying towards a relevant accountancy qualification
